Built for the field.

EventCrewOS replaces the group text and the spreadsheet. Staffing companies post shifts, qualified crew claim them from their phones, and everyone clocks in with a GPS check at the venue. Coordinators can see who's on site before call time.

  • Fill shifts only with crew who hold the right certifications
  • Know who's on site, late or missing, without making phone calls
  • Timestamped hours that go straight to approval and payroll

The phone on this page works. Tap through a shift as a crew member, then switch to the company view and watch it update.

The problem

Event crews still run on group texts.

Arenas, amphitheaters and convention centers need dozens or hundreds of people to show up on time, often at 6 AM or after midnight. Most staffing companies still schedule them with a spreadsheet, a group chat and a lot of phone calls.

Scheduling eats the week

Coordinators text everyone, wait for replies, rebuild the sheet and chase confirmations. Then someone drops the night before and it starts again.

Nobody knows who's actually there

At call time you're counting heads at the crew gate. Hours are written on paper or texted later, and disputes come down to one person's word against another's.

Certifications live in inboxes

Rigging, forklift and alcohol-service credentials are scattered across emails and photos. It's easy to put someone in a role they aren't qualified for.

TodaySpreadsheet + group text

  • Availability gathered one text at a time
  • Clock-in is the honor system
  • No record of who shows up reliably
  • Cert expiry dates nobody checks
  • Pay questions every payday

EventCrewOSOne app for the whole crew

  • Open shifts posted once, claimed by eligible crew
  • GPS-checked clock-in at the venue
  • Reliability score built from real attendance
  • Certifications uploaded, approved and tied to roles
  • Workers see their hours and earnings live

How it works

From posted shift to approved hours.

Four steps, each one on a phone. No app store download: crew sign in through the browser with their phone number.

Post the shifts

The company lists each role for the event: how many people, call time, pay rate and any required certifications.

Company

Crew claim them

Workers see open shifts they're eligible for and claim them in one tap. Roles that need a certification stay locked for anyone who doesn't have it.

Crew member

Clock in on site

At the venue, the app checks the worker's distance from the site and records the clock-in. The coordinator watches the crew board fill in live.

Both

Approve and pay

Clock-out sends the hours to the company for approval. Workers see what they earned. Every no-show and late arrival feeds the reliability score.

Features

Everything a crew needs, and nothing it doesn't.

Each feature is labeled with where it stands today. See all features →

GPS clock-in

Clock-in checks the worker's distance from the venue, so a clock-in only counts from the site. Location is checked at clock-in and clock-out, not tracked all shift.

Working in demo

Shifts and jobs board

Post roles with pay, call times and requirements. Crew browse, claim and confirm shifts, and see their whole schedule.

Working in demo

Certification tracking

Crew upload OSHA, ETCP, forklift, TIPS and food handler cards. Admins approve them, and companies see them before hiring.

Partly built

Reliability scores

A score built from attendance, so companies can see who shows up when deciding who to hire.

Working in demo

Incident reports and SOS

Report an injury or problem with details, or send an SOS that alerts the coordinator. Both record the worker's location.

Live earnings and payouts

Crew watch their pay add up during a shift and see their pay history in a wallet. Same-day payouts are planned.

Payouts planned

Three portals

One sign-in. The right view for each person.

Everyone signs in with a phone number and a one-time code, with no password, and lands in the portal for their role.

Where it stands

Honest status, not a pitch deck.

EventCrewOS is being built in Colorado. The demo is a working prototype with sample data. Here's what works, what's in progress and what's next.

Working in the demo

  • Worker, company and admin portals
  • Phone-number sign-in
  • GPS-checked clock-in and clock-out
  • Shifts, jobs board and applications
  • Certification uploads and approval
  • Reliability scores, incidents and SOS
  • Crew inbox and assistant

Building now

  • Separate accounts and data for each company
  • Certification expiry alerts
  • Blocking shifts for uncertified workers
  • Android app
  • Pilot with Colorado staffing companies

Planned

  • Same-day pay through Stripe
  • iOS app
  • Automatic shift matching
  • Multi-venue events and tours
  • Integrations with venue systems

Why I'm building this

I spent years watching event coordinators drown in group texts, spreadsheets and phone trees. Venues like Red Rocks and Ball Arena depend on hundreds of crew members showing up on time, but the tools that manage those workers were built for office staff, not for crews pulling 14-hour load-ins at midnight.

No-shows happen when nobody is accountable. Payroll is slow because nobody built the plumbing. Coordinators burn out because scheduling 80 people by text is miserable. EventCrewOS is the tool I wanted those crews to have.

FAQ

Questions

What is EventCrewOS?

Crew management software for event staffing, production and hospitality companies. Companies post shifts, crew claim them from their phones, clock in with a GPS check at the venue, and hours flow to approval and payroll.

Is it available now?

It's in development. A working demo with worker, company and admin portals is at app.eventcrewos.com, and we're looking for Colorado staffing companies to pilot it.

How do I try the demo?

Open the demo, enter any 10-digit phone number, tap Send Code and enter 1234. No text message is sent. Tap your name at the top to switch between the Worker, Company and Admin views.

Do workers need to install an app?

No. It runs in any phone browser, and sign-in uses a phone number and a one-time code, with no password. An Android app is also in the works.

Does it track workers all shift?

No. Location is checked when a worker clocks in or out, to confirm they're at the venue. It isn't tracked during the shift.

Who is it for?

Event staffing agencies, production companies, and venue and hospitality teams that schedule hourly crew such as stagehands, riggers, forklift operators, bartenders, runners and security.
